In The Basics module of the Academy of Business Negotiations, how you show up is part of the deal. Tone, energy, and presence communicate before you put a number on the table. The target state is calm and assertive: in control of yourself, clear on your ask, and hard to rattle.
Calm is not passive. Assertive is not aggressive. Mix them up and you either get pushed, or you put the other side on defense. Two people can bring the same offer into the same meeting and leave with different outcomes based on whether they held that state.
Calm is self-control
Calm means you are grounded when something unexpected hits. A buyer uses intensity as a weapon. A vendor drops a hard demand mid-call. If you flinch, they have a foothold. If you stay composed, you set the emotional temperature of the room. Uncertainty invites pressure. Grounded presence becomes the anchor they have to negotiate against.
Assertive is earned confidence
Assertive means you know what you want, why you want it, and you do not apologize for asking. Directness commands respect. Volume does not. In rooms with aggressive retail buyers, intensity only works on the person who lets it land. Stay calm and assertive and that intensity has nowhere to go. You keep the conversation on positions, interests, and dollars instead of on who can raise the heat.
Prep is what makes calm real
False confidence does not hold under scrutiny. Give yourself ten minutes before a significant conversation. Review your position, your target, and the terms that are worth it versus not worth it. Know the numbers forward and backward. Join the call having already decided what a good deal looks like in dollars, not hoping the conversation will invent the target for you. That preparation is what creates genuine calm. You cannot control every move across the table. You can control how you respond to it.
Practical takeaway: Before you join the call, review your target and your numbers until your tone can stay calm and your ask can stay direct.
